Advance Scheduling Guidelines and Protocols
When to Schedule in Advance:
At LanguageXS, we advise scheduling an interpretation session in advance if the desired language is marked as ‘Advance Scheduling Recommended’ on our Supported Languages List. Can’t find the language you need? Feel free to make requests or suggestions by contacting us at contact@languagexs.com
Consider advance scheduling if:
- The session is expected to last longer than 1.5 hours.
- The interpreter needs to sign a document beforehand.
- The session demands specialized skills, such as:
- ASL for legal contexts
- Judicial proceedings
- Two interpreters for ASL, typically for sessions exceeding 1 hour or involving complex topics or specific delivery needs.

How to Schedule in Advance:
To request an advance-scheduled interpretation session, you must be a registered partner with LanguageXS (unsure about your partner status? Contact us for confirmation).
Please complete the ‘Advance Assignment Request Form’. Note that sessions scheduled between 8 AM and 8 PM EST on weekdays require a lead time of 3 business days. Sessions outside these hours need at least 1 business week’s notice.
Please Note: Submitting a request for an advance-scheduled session does not guarantee confirmation of an interpreter.
Billing and Cancellation Policies:
Billing Rates:
Scheduled ASL (American Sign Language):
- Scheduled ASL Interpreting Services: $75/unit. (One unit is equal to 15 minutes.)
Scheduled Spoken Languages:
- Scheduled Spoken Language Services: $40/unit. (One unit is equal to 15 minutes.)
Scheduled Indigenous Languages (Mexico and Guatemala) to Spanish:
- Scheduled Indigenous Languages Services: $50/unit (One unit is equal to 15 minutes.)
General Notes:
- Business days are Monday through Friday, excluding Federal Holidays and weekends.
- A minimum charge of 1 hour applies to all advance-scheduled requests. If a session ends early, billing will be for the scheduled duration.
- Additional time is billed per unit.
Cancellation Policy:
We require at least 24 hours’ notice for cancellations or rescheduling, excluding weekends and Federal Holidays. Failure to provide timely notice will result in a charge for the full duration as initially scheduled. This policy helps ensure that we can offer timely services to all clients.
Late arrivals exceeding 15 minutes without prior notification are considered missed appointments, and will incur the full cancellation fee.
Sessions extending beyond the scheduled time may be transferred to another interpreter at our discretion.
